AI receptionist for photographers
Operator answers enquiries while you're shooting — checking the date, capturing what they need, and booking the consultation before they email someone else.
You're mid-ceremony with a camera to your face. The phone is on silent in a bag somewhere, as it should be.
Meanwhile someone is ringing about their own wedding next March, and the first thing they want to know is whether you're free. If they can't find out today, they'll ask the next three photographers on their list — and one of those will answer.
Operator picks up while you shoot. It checks the date against your calendar, finds out what kind of shoot it is and what they're after, and books a consultation — so the enquiry is still yours when you put the camera down.
What Operator asks your callers
- Name, best contact number, and the date they have in mind
- What kind of shoot — wedding, engagement, family, newborn, headshots, event, real estate, product
- Where it's happening, and whether it's one location or several
- Roughly how many hours of coverage they need
- How many people will be involved
- Whether they're after digital files only, or albums and prints as well
- Whether they've seen the portfolio, and what drew them to your work
- Whether the date is fixed or still flexible
- Whether they'd like a consultation call or would rather have a quote by email first
What a call actually sounds like
What a missed call actually costs
Photography sells date-locked inventory, which makes a missed call worse here than almost anywhere. There is one 21st of March. If somebody else books it while you're shooting, that date's revenue is gone permanently — you can't win it back later, and no amount of follow-up recovers it.
The values are high enough that it stings. A wedding runs into the thousands, and a client who books one often comes back for engagement shots, then a newborn, then family sessions — and recommends you to everyone else planning a wedding that year.
The scheduling clash is nearly perfect, and not in your favour. Enquiries arrive in the evenings and at weekends, because that's when people plan. Weekends and evenings are when you're shooting. The busier you are, the more enquiries you miss — which is exactly backwards.
Where your bookings end up
Operator reads your Google Calendar, so when someone asks whether you're free on a date, it can actually answer — and book the consultation without risking a double-booking.
If your studio management tool syncs to either calendar, bookings appear there too. If it doesn't, every enquiry lands in the Operator dashboard with the date, shoot type and details captured, and you're notified straight away.
Nothing changes about your workflow. It just means the answer to "are you free on the 21st" arrives while they're still on the phone.
